Executive Assistant to the Chief Commercial Officer
An exciting opportunity for an Executive Assistant to join our club and play a vital role by providing first-line support to our Chief Communications Officer.
The Role
We are looking for an Executive Assistant to provide dedicated first-line support to our Chief Commercial Officer.
In this exciting role, you'll be a key part of the fast-paced Commercial Leadership Team and you will offer a wealth of critical support to our CCO, managing all aspects of their day-to-day activities and representing them in both internal and external interactions.
You will be entrusted to oversee diary management, travel plans and the coordination and management of all types of communication with the CCO. You'll actively organise and attend meetings and prepare our CCO for them, and you will keep abreast of all activities and projects across the Commercial department to prioritise effectively and take a lead on relevant projects within the team.
Please note: The role requires some out of office support at both weekends and evenings when the CCO is travelling e.g. check in, transport.

Your day-to-day
- Provide seamless communications management - you'll maintain organisation of the email inbox and folders and prioritise accordingly, taking a rigorous approach to ensure an efficient system is in place; and you will respond to emails on behalf of the CCO, confidently mirroring their tone when required
- Lead on diary management - you will be entrusted with the full scheduling of the CCO's diary, planning for both the short and long term and using your business knowledge and understanding to prioritise meetings to make sure time is well used
- Prepare impactful meetings - you will take pride in ensuring meeting requests have an agenda and you'll source any relevant supporting documents, with time actively held for the CCO to read and review beforehand, and you will manage meeting arrangements for external guests, including greeting, catering and gifting
- Organise, oversee and document meetings - you will confirm all meetings 24 hours in advance and provide attendees with all key information and attend any meetings as required by the CCO (either with or on behalf of them); and you'll note take to ensure outcomes and follow-up actions are circulated in a timely manner
- Coordinate business travel arrangements - you'll be across travel plans and logistics, carefully preparing itineraries and planning for both domestic and international travel including checking in, taxis and requirements such as restaurant bookings
- Offer an outstanding hospitality experience - you will arrange for guests of the CCO to join us in the Directors' Box or other hospitality areas, creating target lists of key clients and prospects, and planning the fixture calendar across home, away and tour fixtures; and you'll ensure VIP guests have a complete itinerary as well as parking, ticketing and dietary information
- Demonstrate a project management mindset - you'll remain informed on all Commercial wide projects and current workstreams, as well as our wider club priorities to ensure accurate prioritisation of the CCO's time and attention
- Collaborate with the Commercial department - you will act as the eyes and ears for the CCO in the Commercial team as well as amongst the breadth of our club, going above and beyond to identify when something needs the CCO's attention and suggesting ways to address
What we are looking for
- Background in an Executive Assistant role - you're equipped with a proven track record of communication, diary and admin management, as well as meeting support in a fast paced, commercial environment (Sports and Media industry experience is advantageous)
- Effective communication skills - you're easily able to build impactful relationships and influence a diverse range of colleagues, tailoring your tone and approach as and when required
- Project management mindset - you can confidentially manage and support the delivery of projects with multiple stakeholders that achieve team and business aims
- Adept at multitasking - you back your ability to manage your time and work across multiple projects concurrently and to prioritise tasks based on business needs and competing priorities
- Excellent attention to detail - you can deliver tasks with skill and urgency without compromising accuracy and quality
- Proactive approach - you're proud of your ability to take initiative and think on behalf of an Exec level stakeholder, working closely with fellow Executive Assistants to ensure the smooth running of the overall department
